Programs and Operations Coordinator

Reports to: Executive Director

Status: Non-Exempt, Part-time, Hybrid

Hourly rate: $30-35/hour, commensurate with experience

About the organization:

Founded in 2023, Mama2Mama is a 501c3 nonprofit headquartered in Pasadena, California and working in Los Angeles and San Diego Counties and Tijuana, Mexico to fill the void in postpartum support. Mama2Mama strives to offer solace and solidarity to mothers in the fourth trimester by providing crucial resources, knowledge-sharing, and access to essential items. Mama2Mama’s inaugural program, Mamas at the Border, focuses on supporting asylum-seeking and migrant mothers in early postpartum at a refugee shelter in Tijuana, Mexico. In partnership with international nonprofits and local women, our efforts include weekly check-ins, mental health support, needs documentation, and provision of essential postpartum supplies like baby carriers, diapers, and formula. We are currently in a strategic planning process to facilitate the development of our expanded vision and mission, founding programs, community partnerships, and Board of Directors recruitment.

Our staff is currently led by three white women, each committed to expanding our equity work as individuals and within our organization. We work with independent contractors including marketing, accounting, and bookkeeping, as well as with our local Mexican contractors in Tijuana, including our Program Facilitator and psychologist. Summary:

This part-time, Pasadena-based, hybrid role provides support to the Executive Director, Program Manager, and Board President, ensuring the seamless functioning of Mama2Mama’s day-to-day operations. Responsibilities will span a diverse range of tasks, including managing administrative and development processes and contributing to office and program logistics.

Essential job functions & responsibilities:

Development:

      • Collaborates on donor and volunteer communications and management, primarily responsible for gift acknowledgment and database entry, development reports, volunteer scheduling and coordination, and thank you letter writing

      • Manages in-kind donation inventory, including sorting and donor receipting

      • Coordinates volunteer and fundraising event activities, in partnership with Executive Director and Board President

      • Provides general accounting and CRM database support, specifically Virtuous and Classy

      • Serves as an advocate for data stewardship, both within and outside of the database, supporting best practices and creating and documenting procedures

      • Plays a key role in executing annual year-end fundraising campaign

      • Supports Executive Director in Board of Directors meeting preparation

      • Assists in managing internal development calendar

    Programmatic:

        • Manages both in-kind inventory and ordering of material items for all programs

        • Responsible for representing Mama2Mama at program-specific events 

        • Engages in strategic planning and meetings as necessary

        • Assists in managing internal programmatic calendar

      Administrative:

          • Manages Mama2Mama’s administrative operations to ensure that administrative tasks are accomplished efficiently and effectively

          • Provides general IT support for digital platforms, fundraising software, and communications

          • Provides scheduling assistance and coordination to staff as required

          • Manages Mama2Mama’s general email inboxes

          • Orders and maintains printed materials, promotional and collateral materials, and supplies

          • Helps to schedule necessary meetings and conferences

          • Provides administrative support to all staff on an as-needed basis

          • Other responsibilities and duties as assigned by Executive Director

        This role has no direct reports or supervisory responsibilities.

        Qualifications:

            • Mobile phone stipend ($40/month) 

            • Computer stipend, if not provided company computer ($70/month)

            • Professional Development stipend ($300/annual)

            • Holidays observed: New Year’s Day (or adjacent day, as observed), Martin Luther King Jr. Day, President’s Day, Memorial Day, Independence Day (or adjacent, as observed), Labor Day, Thanksgiving Day and Day After Thanksgiving, Christmas Day (or adjacent, as observed) 

          • Five (5) days of paid sick leave provided per calendar year


          Selection Process: 

              • Applications will open on July 18, 2024, and will be received on a rolling basis with an intended start date as early as September 15, 2024

              • Interviews will begin after August 19, 2024

              • Mama2Mama will invite select candidates to participate in a two-step interview process.
                    • Initial phone screening with Executive Director (20 min)

                    • Mama2Mama Team interview (45-60 min)

                • Once a qualified candidate has been selected, Mama2Mama will extend an offer letter and agree upon the start date


                  • Minimum 1-2 years of professional experience or equivalent volunteer experience; prior nonprofit experience preferred

                  • Demonstrated meticulous attention to detail, ability to multitask and prioritize competing projects

                  • A proactive and self-starter nature

                  • Proficiency with Google Workspace and Microsoft Office

                  • Experience with web-based contact databases (CRM); being familiar with Classy and Virtuous is desired

                  • Knowledge of social media platforms, WordPress, and basic HTML

                  • Experience working in the context of donors and/or executives while maintaining a high level of professionalism

                  • Excellent oral and written communication skills in English; Spanish oral and written skills are desired but not required

                • Interest in reproductive health, women’s rights, and immigration rights is desired


                Work environment:

                    • Hybrid: This role requires a supportive virtual workspace, reliable internet connection, and cellular service – software, subscriptions, and licenses needed to use the company’s work tools are covered by Mama2Mama

                    • This role requires working in person at Mama2Mama’s office at Industrious Pasarroyo coworking space in Pasadena on a flexible schedule

                    • Part-time, estimated 20 hours per week, to be worked between Monday through Friday, 9 am – 5 pm Pacific Time, and rarely outside of these work hours. Schedule to be flexible and approved by the Executive Director

                    • Performance review approximately 90 days from start date, and after 6 months has the possibility to advance to full-time if/when appropriate for the organization’s needs
